MINUTES OF THE MEETING of April 10, 2018

The Hannibal Free Public Library Board of Trustees met on Tuesday, April 10, 2018, at 5:00 p.m., in the 3rd Floor Meeting Rooms at Hannibal Free Public Library, 200 South Fifth Street, Hannibal, MO 63401. Present: Kim Ahrens, Frank DiTillo, J’Nelle Lee, Sara A. North, Tom Prater, Casey Welch, and Lauren Youse. Absent: Amber Baxter and Roy Hark. Also Present: Hallie Yundt Silver, Library Director.

Library Board President Kim Ahrens chaired the meeting. She called it to order at 5:08 p.m., after the Library Board’s photo was taken in the Women’s Club Room.

Moved by Sara North and supported by Frank DiTillo to approve the Minutes of the meeting of March 13, 2018. Motion carried.

Claims were distributed. The Claim for Master Card was included in the Financial Packet. Moved by Lauren Youse and supported by Frank DiTillo to approve the Claims for April 2018 in the total amount of $56,280.21, including $52,785.61 on the Claims list, $2,744.06 on the MasterCard spreadsheet, and $750.54 in additional claims, which included Reliance Barcode Solutions in the amount of $282.54 from Library Supplies, and HomeStore in the amount of $468.00 from Building Contracts. Motion carried.

Moved by Tom Prater and supported by Roy Hark to approve the Investment Report for March 2018. Motion carried.

The City Financial Report was included in the Financial packet.

The Transfer Recommendation was distributed. Moved by Frank DiTillo and supported by Casey Welch to approve the Transfer Recommendation for April 2018, showing no transfer between accounts. Motion carried.

There was no Correspondence.

Meeting plans for various Committees were discussed.

The written Director’s Report was included in the packet. Hallie Yundt Silver added the following to her report:

Cindy Haun said goodbye. She left for Africa the week of the Library Board meeting.

Claire Ehrlich is expecting.

Caitlin’s and Roy’s fundraising project going well. Summer 18 should have some nice prizes.

Adair County Public Library in Kirksville was selling 50 acrylic magazine stands, which retail for $40 each. I got the lot for $500 plus $71.04 in mileage to get them. Having the new stands will modernize and refresh the look of the adult magazine display.

Jeff LaGarce had made a proposal concerning back taxes on the old hospital. Excerpts from his email were read.

The check for 3rd & 4th quarters of State Aid arrived

Various Library Board committees need to review parts of the Budget in April and early May, including: Designated Accounts, Cash Flow Needs, Personnel, Professional Development, Capital Outlay, and Building Contracts.

Moved by Tom Prater and supported by Lauren Youse to authorize application for an LSTA "Spotlight on Literacy" grant through the Missouri State Library in addition to or instead of the NEA "Big Read" grant authorized last month. Motion carried.

Moved by Casey Welch and supported by J’Nelle Lee to participate in the USDA’s Meals Program offered through Douglass Community Services. Motion carried.

Moved by Frank Ditillo and supported by Lauren Youse to issue a Proclamation to Caldwell in acknowledgement of 30 years of service as a Library employee. Further moved to issue Proclamations to the following volunteers: the Bridge Class ladies, Nancy Caswell, Barbara Eddy, Friends of the Hannibal Free Public Library, Jack Gardner, Alicia Godert, Harriet & Norman Grubb, LaVerne See, and Jana Suchland. Motion carried.

Moved by Sara North and supported by Frank DiTillo to adjourn. Motion carried.

The Library Board adjourned at 5:30 p.m.
