Bid Opening Minutes

January 7, 2013

 

Hannibal Free Public Library opened and read bids for the Library’s Digital Microfilm Scanner Project.  on Monday, January 7, 2013, at noon Central Time, in the Trustees Room.  Present were:  Library Director Hallie Yundt Silver and Business Associate Ll’Tanya (Toni) Rose. 

 

The bid opening was called to order at 12:05 p.m.  Toni Rose opened and read the bids.  Hallie Yundt Silver recorded them. 

 

RMC Imaging, Inc., of Rockford, Illinois, submitted a bid on ST-Imaging ViewScan equipment.  Base bid was $7,975.75 per unit with $300 bid for an optional monitor, $350 for optional OCR software, and $900 for automatic reel film scanning.  The future service agreement fee was bid at $1,050, covering three scanners and beginning the second year.  $200 per hour and $200 travel was bid per service call should Hannibal Free Public Library elect not to enter into a service agreement.  $1,065 was bid per coin-op and $985 for a companion flatbed scanner.

 

EBE Office Solutions of Olathe, Kansas, submitted a bid on ScanPro 2000 equipment.  Base bid was $9,350.40 per unit, which included the monitor.  $400 per unit was bid for the PC, and $2,940 for automatic reel film scanning.  The future service agreement fee was bid at $2,085, covering three scanners and beginning the second year.  $125 per hour plus $100 travel was bid per service call should Hannibal Free Public Library elect not to enter into a service agreement.  No information was included in the bid about OCR software. 

 

Microtek Document Imaging Systems, Inc., of Saint Louis, Missouri, submitted a bid on Konica Minolta SL-1000 equipment.  Base bid was $8,975.00 per unit with $350 for an additional software upgrade in 2013 and $410.00 for an optional monitor.  The future service agreement fee was bid at 795.00, covering three scanners and beginning 90 days after installation.  $185 per hour and $185 travel was bid per service call should Hannibal Free Public Library elect not to enter into a service agreement.  A bid note stated “…software upgrades that occur during the agreement period are also included at no charge.”

 

Hallie Yundt Silver stated that total cost was one of nineteen factors being considered. 

 

The bid opening adjourned at 12:25 p.m.
